Prolonged feelings of stress, overwhelm and frustration undermine your physical health, results at work, and life at home.<\/span><\/p>\n<p lang=\"en-US\" align=\"CENTER\"><a href=\"http:\/\/www.flickr.com\/photos\/gunsinger\/7984415701\/in\/photostream\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-4183\" title=\"wanted\" src=\"http:\/\/noomii-blog-files2.s3.amazonaws.com\/2012\/09\/wanted.jpg\" alt=\"\" width=\"360\" height=\"360\" \/><\/a><\/p>\n<p lang=\"en-US\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">Before implementing a system of my own, my days would generally be filled with me putting out fires, jumping from one task to another, needing to review the same emails over every few hours, papers all around: I could go on forever. I was not optimizing my time and my work began to suffer. I decided to spend a few hours to creating a system in my work life which would eventually free up hours in my week.<\/span><\/span><\/p>\n<p lang=\"en-US\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\"><strong>Step 1. Collect and Gather<\/strong><\/span><\/span><\/p>\n<p style=\"padding-left: 30px;\" lang=\"en-US\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">Start by writing down everything you think you have to do, need to do and ought to do. Download all of the things you have on your mind; all your incomplete tasks and free up space for more creative thinking! <\/span><\/span><\/p>\n<p style=\"padding-left: 30px;\" lang=\"en-US\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\"><em>Clear your<\/em><\/span><\/span><span style=\"color: #000000;\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\"><em> office and desk, your inbox, your mind.<\/em><\/span><\/span><\/span><\/p>\n<p style=\"padding-left: 30px;\"><span style=\"color: #000000;\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">U<\/span><\/span><\/span><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">se collection containers (in basket, e-mail, lists) and review and empty your collection containers regularly.<\/span><\/span><\/p>\n<p lang=\"en-US\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\"><strong>Step 2. Process<\/strong><\/span><\/span><\/p>\n<p style=\"text-align: left; padding-left: 30px;\" lang=\"en-US\"><span style=\"color: #000000;\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">On all of these things: what is the next action? Does it get on the immediate action list, can you delegate it, trash it or put it on your follow up list?<\/span><\/span><\/span><\/p>\n<p style=\"text-align: left; padding-left: 30px;\"><span style=\"color: #000000;\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">Process what comes in using the two minute rule: if you can do it in less than 2 minutes, <\/span><\/span><\/span><span style=\"color: #000000;\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\"><strong>do it.<\/strong><\/span><\/span><\/span><span style=\"color: #000000;\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\"> ie. Make a call. More time consuming? Put it on your action list. Comprised of many actions? Put it on your project list.<\/span><\/span><\/span><\/p>\n<p lang=\"en-US\">\u00c3\u201a\u00c2\u00a0<strong style=\"font-size: small; font-family: Arial, sans-serif;\">Step 3. Plan<\/strong><\/p>\n<p style=\"padding-left: 30px;\" lang=\"en-US\"><span style=\"color: #000000;\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">Prioritize your actions. Keep your goals at the top of your mind and be realistic when estimating the time you set to work on something.<\/span><\/span><\/span><\/p>\n<p style=\"padding-left: 30px;\" lang=\"en-US\"><span style=\"color: #000000;\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">Plan each day, prior to that day. Use a weekly planner that is synchronized with your calendar, and plan your day working from your collection containers.<\/span><\/span><\/span><\/p>\n<p style=\"padding-left: 30px;\" lang=\"en-US\"><span style=\"color: #000000;\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">Review your project and action lists daily to confirm that you&#8217;re doing the most important thing right now.<\/span><\/span><\/span><\/p>\n<p lang=\"en-US\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\"><strong>Step 4. Take Action<\/strong><\/span><\/span><\/p>\n<p style=\"padding-left: 30px;\" lang=\"en-US\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">Do what you have planned to do! Remove all distractions when working; limit your interruptions and only check your email at certain times. Remember to leave buffer room in your day for any changes.<\/span><\/span><\/p>\n<p style=\"padding-left: 30px;\" lang=\"en-US\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">Notice where you are hesitating to take action and motivate your self! Manage your actions and you will manage your time.<\/span><\/span><\/p>\n<p lang=\"en-US\"><span style=\"color: #000000;\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\"><strong>Step 5: Check In<\/strong><\/span><\/span><\/span><\/p>\n<p style=\"padding-left: 30px;\" lang=\"en-US\"><span style=\"color: #000000;\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">Frequently ask yourself questions to gauge how your system is running.<\/span><\/span><\/span><\/p>\n<ul style=\"padding-left: 30px;\">\n<li style=\"padding-left: 30px;\"><span style=\"color: #000000;\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">Am I reaching commitments and deadlines? If not, why? What needs to change?\u00c3\u201a\u00c2\u00a0<\/span><\/span><\/span><\/li>\n<li style=\"padding-left: 30px;\"><span style=\"font-size: small; font-family: Arial, sans-serif; color: #000000;\">Do I do what is urgent and important AND not urgent and important?\u00c3\u201a\u00c2\u00a0<\/span><\/li>\n<li style=\"padding-left: 30px;\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">What bad habits<\/span><\/span><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\"> steal my time?\u00c3\u201a\u00c2\u00a0<\/span><\/span><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">Do my daily actions move me closer to my goal<\/span><\/span><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">s?\u00c3\u201a\u00c2\u00a0<\/span><\/span><\/li>\n<li style=\"padding-left: 30px;\"><span style=\"font-size: small; font-family: Arial, sans-serif; color: #000000;\">What must change in order for me to have more time?<\/span><\/li>\n<\/ul>\n<p lang=\"en-US\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">Combine the most useful techniques and create your own system. Systems allow you to easily see your results and then make changes to get what you want. <\/span><\/span><\/p>\n<p lang=\"en-US\"><span style=\"color: #000000;\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">What works best for you may certainly not work best for somebody else, so through trial and error, your system will change and improve over time. <\/span><\/span><\/span><\/p>\n<p lang=\"en-US\"><span style=\"color: #000000;\"><span style=\"font-family: Arial, sans-serif;\"><span style=\"font-size: small;\">What systems work for you?
